Reviewing Aged Payables and Receivables

This page shows you how to review both aging tabs so you can see overdue supplier and customer balances without guessing what the buckets mean.

Product: Beam Machine
Module: Reports / Aged Reports
Role: Accountant, AP Reviewer, Credit Control, Controller
Difficulty: Beginner
Time: 5 minutes
Last Updated: 2026-03-10
Version: Current Beam Machine app build in this repo

Before You Start

  • You need open bills or invoices, or the page will show no outstanding items.
  • You need to know the date you want to age the balances against.
  • Read ../reports/02-reviewing-aged-reports.md if you need the wider reporting context first.

Current build status: The aged-report tabs are live and data-driven. Print works. Export is visible but disabled in the current shared toolbar.

What are aged payables and aged receivables?

These reports group outstanding balances into aging buckets so you can see what is current, what is overdue, and where the oldest exposure sits.

When do you use this?

Use this during cash-flow review, collections follow-up, supplier review, or month-end control work.

If you skip aging review, old balances can stay hidden until they become a bigger collections or supplier problem.

Where to find it

Primary path: Reports -> Reporting -> Aged Reports
Route: /dashboard/reporting/aged

How to review aged payables

  1. Open Reports -> Reporting.
  2. Click Aged Reports.
  3. Leave the page on Aged Payables.
  4. In the toolbar, set As at date.
  5. Click Print if you need a printer-friendly copy.
  6. Ignore Export for now, because the button is disabled in the current build.

āœ… Checkpoint: The card title should say Aged Payables and show the selected As at date.

  1. Review the rows by supplier or contact.
  2. Read the buckets from left to right:
    • Current
    • 1-30 Days
    • 31-60 Days
    • 61-90 Days
    • 91+ Days
  3. Review the Total column and the totals row.

How to review aged receivables

  1. Click the Aged Receivables tab.
  2. Confirm the As at date is still correct.
  3. Review the same aging buckets for customer balances.
  4. Focus first on larger totals in the oldest buckets.

āœ… Checkpoint: You should now know which supplier balances need payment planning and which customer balances need collection follow-up.

Common Questions & Issues

"The page says no outstanding items found"

Why this happens: There may be no open balances for the selected date, or the source invoices and bills were not posted in a way that creates outstanding items.

Fix: Check the source invoicing or payables records first.

"The amounts are in the wrong bucket"

Why this happens: Aging depends on the document dates and open status as at the chosen date.

Fix: Re-check the As at date and the source transaction dates.

"I need a file export"

Why this happens: The toolbar shows an Export button, but it is disabled in the current build.

Fix: Use Print for now, or move the figures into your working papers manually.
