Reviewing Aged Reports In Beam Machine

This page shows you how to review outstanding debtor and creditor balances by aging bucket and use the page without guessing what the buckets mean.

Product: Beam Machine
Module: Reports -> Reporting -> Aged Reports
Role: Accountant, Credit Control, AP Reviewer, Financial Controller
Difficulty: Beginner
Time: 5 minutes
Last Updated: 2026-03-10
Version: Current live reporting route in this repo

Before You Start

  • You need posted invoices or bills, or the report will show no outstanding items.
  • You need to know whether you want Aged Payables or Aged Receivables.
  • If you need to inspect a single invoice or bill first, open ../modules/02-working-in-invoicing.md.

Current build status: This route is live and data-driven. It has a working Print button and a visible but disabled Export button in the toolbar.

What is this page?

This route groups outstanding balances into aging buckets so you can see how old unpaid amounts are.

The live page currently exposes two tabs:

  • Aged Payables
  • Aged Receivables

The buckets shown are:

  • Current
  • 1-30 Days
  • 31-60 Days
  • 61-90 Days
  • 91+ Days

On paper, this is the aged debtors or aged creditors report you would hand to the credit-control team, payables reviewer, or finance manager.

When do you use this?

Use this page when:

  • you need to chase debtors,
  • you need to understand overdue supplier exposure,
  • or you need an aging summary for month-end or management review.

If you skip aging review, overdue balances can sit quietly until they become a cash-flow or control problem.

Where do you find it?

Primary path: Reports -> Reporting -> Aged Reports tile
Alternative: Open Reports -> Reporting, then click the Aged Reports tile
Alternative: Use a bookmarked direct route to /dashboard/reporting/aged if your menu does not show a direct child link

This route is live, but it is not currently listed as a child link in the left Reporting menu. The normal user path is through the Reporting landing page tile.

How do you review aged balances?

  1. Open Reports -> Reporting.
  2. Click Aged Reports.
  3. Choose Aged Payables or Aged Receivables.
  4. Set the As at date in the report toolbar.

āœ… Checkpoint: The card title should match the tab you chose, and the page should show the selected As at date.

  1. Click Print if you need a printer-friendly copy.
  2. Ignore Export for now, because the button is visible but disabled in the current build.

How do you read the table?

  1. Review the rows by contact.
  2. Read the buckets from left to right:
    • Current means not yet overdue as at the selected date.
    • 1-30 Days means newly overdue.
    • 31-60 Days and 61-90 Days show growing age and collection risk.
    • 91+ Days is the oldest visible bucket on the current page.
  3. Review the Total column for each contact.
  4. Review the totals row at the bottom.

āœ… Checkpoint: You should now know which balances need immediate follow-up, not just the total book value.

  1. Use Aged Receivables for collection priority, dispute follow-up, and working-capital review.
  2. Use Aged Payables for supplier exposure, payment planning, and overdue supplier risk.

Common Questions & Issues

"The page says no outstanding items found"

Why this happens: Either there are genuinely no open items, or the underlying invoices or bills have not been posted in a way that creates outstanding balances.

Fix: Check the invoicing or payables source records first.

"The wrong amounts are in the wrong bucket"

Why this happens: Aging depends on the document date and outstanding status as at the chosen date.

Fix: Re-check the As at date and the underlying invoice or bill dates.

"I cannot find Aged Reports in the left menu"

Why this happens: The route exists, but the current navigation exposes it from the Reporting landing page rather than as a visible sidebar child.

Fix: Open Reports -> Reporting and use the Aged Reports tile.

"I need a file export"

Why this happens: The toolbar shows an export control, but it is currently disabled.

Fix: Use Print for now, or manually transfer the numbers into your working papers.

  • Aged receivables and payables support cash-flow management, month-end review, audit support, and provisioning discussions.
  • They do not replace line-by-line review of disputed invoices, credit notes, or supplier reconciliations.
