Before You Start

  • You should know the active entity.
  • You should know whether you are adding an item, reviewing stock movement, or performing a stocktake.

What is Inventory?

This is the stock control area for items you buy, hold, move, count, and issue. On paper, this would be the stock list, warehouse sheet, movement log, and stocktake sheets.

In Beam Machine, it lives under Inventory.

When do you use this?

Use this module when:

  • a new stock item must be added,
  • warehouse locations need review,
  • stock movement history must be checked,
  • or a stocktake must be completed.

If the system stock record is behind reality, reorder decisions and stock reporting become unreliable.

How to work in Inventory

Review the inventory dashboard

  1. Open Inventory.
  2. Review the cards for total items, low stock alerts, and warehouses.
  3. Use the dashboard to decide whether you need Items, Warehouses, Movements, or Stocktakes.

Add or review items

  1. Open Inventory -> Items.
  2. Review the item list and stock levels.
  3. Open Add Item when a stock item does not yet exist.
  4. Save the item before posting movements against it.

Review warehouse structure

  1. Open Inventory -> Warehouses.
  2. Confirm the storage location structure matches the real business layout.

Review stock movements

  1. Open Inventory -> Movements.
  2. Review receipts, issues, and transfers.
  3. Use this page when a user says "the stock just disappeared."

Run stocktakes

  1. Open Inventory -> Stocktakes.
  2. Start the physical count process.
  3. Compare the physical count against the recorded balance.
  4. Investigate differences before signoff.

Common Questions & Issues

"I cannot post against the item I need"

Why this happens: The item may not exist yet.

Fix: Add the item first in Inventory -> Items -> Add Item.

"The movement history is wrong"

Why this happens: A prior receipt, issue, or transfer may not have been recorded correctly.

Fix: Review Movements, then check the source transaction and correct the record at the source workflow.

"The stocktake does not match the system"

Why this happens: Physical stock and the system record have drifted apart.

Fix: Investigate the difference, review recent movements, and only then update the count or fix the source transaction.
