Adding an Inventory Item

This page shows you how to create a new inventory item so the system can track it properly.

Product: Beam Machine
Module: Inventory / Items
Role: Operator, Inventory Controller, Accountant
Difficulty: Beginner
Time: 5 minutes
Last Updated: 2026-03-10
Version: Current Beam Machine app build in this repo

Before You Start

  • You need access to Inventory -> Items.
  • You should already know the SKU, item name, and basic costing setup.
  • If you use reorder controls, have the reorder point and reorder quantity ready.

What is an inventory item?

An inventory item is the master record for something you stock, move, count, and reorder.

In Beam Machine, you add it from the new-item page using item identity, category, unit of measure, cost method, and reorder settings.

When do you use this?

Use this before you start transacting a new stock item.

If you move stock before the item exists in the system, your inventory records become inconsistent immediately.

Where to find it

Primary path: Inventory -> Items -> Add Item

Alternative: Start at Inventory, then use the Add Item action.

How to add an inventory item

  1. Open Inventory -> Items -> Add Item.
  2. Enter SKU.
  3. Enter Name.
  4. Enter Description if needed.

āœ… Checkpoint: You should now have the basic identity of the item on the form.

  1. Select Category.
  2. Select Unit of Measure.
  3. Select Cost Method.
  4. Enter Reorder Point if you use low-stock control.
  5. Enter Reorder Quantity if you use automatic or guided replenishment.
  6. Click Save Item.

āœ… Checkpoint: The form should save and return you to the inventory items list.

  1. Confirm the new item appears in the item list.

Common Questions & Issues

"I do not know which cost method to choose"

Why this happens: The page expects a costing method but users often think about price, not stock valuation.

Fix: Check your inventory policy before you choose the cost method. Do not guess if stock valuation matters downstream.

"The item saved, but I cannot find it"

Why this happens: The list may need a refresh or you may be looking in the wrong entity.

Fix: Refresh the items list and confirm the active entity.

"Do I have to fill in reorder settings?"

Why this happens: Reorder controls are optional for some teams.

Fix: If your team does not use reorder alerts yet, you can leave them blank or at zero, but agree the rule internally first.
